This policy explains how we collect, use and protect your personal information when you use this website or ask us for a quote, and what rights you have under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are

Pet Flap Installers is a trading name of Tru Skylights Limited, a company registered in England and Wales (company number 13737956). Our registered office is Grosvenor House, Chapel Street, Congleton, Cheshire, CW12 4AB. Tru Skylights Limited is the data controller for the personal information described in this policy.

What information we collect

When you submit a quote or contact form, we collect:

• your first and last name
• your email address and phone number
• your postcode
• details of your enquiry, such as cat or dog flap, installation location, whether it is a new or replacement flap, and any message you write
• which page of our website you sent the form from, and whether you ticked the box agreeing to be contacted about your enquiry

When you visit the website, our hosting provider automatically processes technical information needed to deliver the site securely, such as your IP address, browser type and the pages requested. We use your IP address for a short time to limit repeated form submissions and protect the site from spam and abuse.

If you email or phone us directly, we keep a record of that correspondence.

Please don't include sensitive information (for example health details) in the message box. We don't need it to provide a quote.

How we use your information and our lawful basis

• To respond to your enquiry, prepare a quote and arrange an installation. Lawful basis: taking steps at your request before entering into a contract, and performing that contract if you go ahead (Article 6(1)(b) UK GDPR).
• To keep our website and forms secure and prevent spam, fraud and misuse. Lawful basis: our legitimate interests in protecting our business and customers (Article 6(1)(f)).
• To keep business and accounting records. Lawful basis: compliance with our legal obligations (Article 6(1)(c)) and our legitimate interests in handling queries or disputes.

We don't use your information for marketing, and we don't sell or rent it to anyone. We don't make decisions about you using automated processing or profiling.

Who we share it with

We use trusted service providers who process personal information on our behalf, under contract and only on our instructions:

• Vercel Inc. (USA) hosts this website and processes technical data such as IP addresses when the site is used.
• Resend (USA) delivers the details you submit on our forms to our email inbox.
• Microsoft provides our business email (Microsoft 365, supplied through GoDaddy), where your enquiry and our correspondence with you are stored.

We may also share information if the law requires it, or with professional advisers such as our accountants.

International transfers

Some of our providers are based in, or may access data from, the United States. Where personal information is transferred outside the UK, we rely on recognised safeguards: the UK-US Data Bridge, where the provider is certified under it, or the UK International Data Transfer Addendum to the EU Standard Contractual Clauses included in the provider's data processing terms.

How long we keep it

• Enquiries that don't lead to an installation: up to 24 months after our last contact with you, then deleted.
• Customer records for work we carry out: 6 years after the end of the tax year in which the work was completed, as required for tax and accounting purposes.
• IP addresses used to limit repeated form submissions: held only briefly (minutes) for that purpose. Hosting and email delivery logs are kept by our providers for a limited period in line with their standard retention settings.

How we protect it

The website is served only over encrypted HTTPS connections. Access to enquiries is limited to staff who need it to deal with your request, and our providers apply industry-standard security measures.

Your rights

Under UK data protection law you have the right to:

• ask for a copy of the personal information we hold about you
• ask us to correct information that is inaccurate or incomplete
• ask us to delete your information
• ask us to restrict how we use your information
• object to processing we carry out based on legitimate interests
• ask for information you gave us to be transferred to you or another organisation (data portability)

Some rights depend on the circumstances. For example, we may need to keep certain records to meet legal obligations. To make a request, contact us using the details above. We'll respond within one month and won't normally charge a fee.

Complaints

If you're unhappy with how we've handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator: visit ico.org.uk/make-a-complaint or call 0303 123 1113.
